Registration

We are excited to share that registration for the conference is now open!

Kindly read the whole message carefully before moving to the registration form at the bottom of this page.

TIERS OF REGISTRATION

There are six tiers of registration fees, as follows:

  • ‘Early Bird’ standard fee until 15/07/23 = 200 Euro
  • Standard fee after 15/07/23 = 250 Euro
  • Higher earners fee = 350 Euro (higher wage earners should select this ticket type as this will allow us to offer accommodation grants and reduced fees to students and low-income participants).
  • Reduced fee = 100 Euro (low-income or unwaged participant, this fee includes the coffee breaks and lunch breaks)
  • Reduced fee for presenting undergraduate students = 50 Euro (this fee includes the coffee breaks and lunch breaks).
  • Free attendance for non-presenting undergraduate students = 0 Euro (students who want to attend the plenary and parallel sessions without presenting are allowed to register for free. No conference meals are included in this kind of registration)
    • If you want to apply for a fee waiver as a non-presenting undergraduate student, please fill in the ‘student registration’ form at the bottom of this page

DEADLINE FOR REGISTRATION

All presenting delegates must be registered by 15/08/23 in order to finalize the program on time. If you have not registered by this date, your submission will be removed from the program.

For non-presenting delegates the registration system will remain open until 15/11/23.

CANCELLATION POLICY

In case of cancellation before 15/10/23, we will refund 50% of the conference fee. After that date we will be unable to refund your fee. If you need to cancel your participation in the conference, kindly send us an e-mail to hrrn.conf@ugent.be with the message title ‘cancellation + name + surname’.

MEALS

Conference fees include a reception after the opening ceremony on 6 December, as well as coffee breaks and lunch on 7 and 8 December.

An optional conference dinner will be organized on December 7th. Information about the conference dinner will be published here soon.

PAYMENT INSTRUCTIONS

For all presenting delegates and people who have applied for a reduced fee or student fee, a payment link will be sent to the e-mail address they provided in the registration form. This can take a few days, however.

For non-presenting delegates who will be paying a regular fee or higher earners fee, a general payment link will be published on this website shortly.

ACCOMMODATION GRANTS, REDUCED FEES AND FEE WAIVERS

We are happy to announce that we can provide a limited number of accommodation grants for colleagues presenting at the conference from low-income countries (for instance in the global South) and/or from colleagues without access to institutional support.

The number of accommodation grants is limited and grants will be awarded on a competitive basis. Please apply only if you do not have access to other sources of funding. Accommodation grants will include hotels costs for a maximum stay of four nights (check in as from 5 December, check out until 9 December) including breakfast, which we will reserve for you.

We can also offer a limited amount of reduced conference fees and conference fee waivers for low-income or unwaged participants and for undergraduate students presenting at the conference.

To apply for an accommodation grant, a reduced fee and/or a fee waiver please fill in the form below. Please complete the form using data (name, surname, proposal ID, paper title & abstract, etc.) identical to those entered upon proposal submission and upload your CV (pdf) in the second section of the form. 

The deadline to apply for accommodation grants and conference fee support is 15/06/2023.

All accommodation grants and applications for conference fee support will be assessed on a case-by-case basis by an Ethics Committee. Successful applicants will be informed by 30/06/23.
